Information we handle

Please do not submit identifiable patient information or medical records through an open website form.

  • Information you submit, such as your name, contact details, country, organization, role and the project, service, equipment or cooperation information included in an inquiry.
  • Technical information needed to deliver and protect the site, such as IP address, browser, device, access and security logs.
  • Website measurement information from Google Analytics 4 or Microsoft Clarity when those tools are enabled, including pages and interactions and any identifiers used by the configured service.

Why we use it

We use information to respond to your request, prepare and coordinate relevant follow-up, operate and secure the website, understand and improve its use, keep necessary business records and meet legal obligations. Depending on the context, processing is based on steps you ask us to take, a contract, our legitimate interests, a legal obligation or consent where the law requires it. We do not use solely automated decision-making to determine whether to work with you.

Who may receive it

Information may be accessed by our team and service providers supporting hosting, email, form delivery, security and analytics. For the purposes described above, relevant information may also be shared when reasonably necessary with hospitals, clinical experts, manufacturers, logistics or implementation partners and professional advisers or authorities, or with other parties when you direct us or applicable law permits or requires it.

International processing and retention

The controller is in China, so information submitted to us may be received and stored in China. Providers or project partners may operate in other countries. Where applicable law requires safeguards for an international transfer, we take the measures required for that transfer.

Inquiry and project correspondence is normally retained while the matter is active and for up to five years after the last meaningful interaction. Information may be kept longer only where a contract, accounting rule, legal obligation or dispute requires it. Technical and analytics data follows the configured provider retention period and is deleted or anonymized when no longer needed.

Your choices and rights

Email info@xentramedical.com to request access, correction or deletion, to withdraw consent, to exercise objection, restriction or portability rights where applicable, or to lodge a complaint with the competent authority. We may verify your identity and may retain information where the law permits or requires it.
